Terms and Conditions of Hire

Applicability 

These are the terms and conditions of hire for The Drayton Centre 

 

The use of The Drayton Centre and its facilities is subject to the following rules and standard conditions incorporated in the hiring agreement.  It is incumbent on all to treat other users of the Centre, and the facilities with respect and to avoid any actions, which would bring the Centre or Trustees into disrepute. 

 

  • Special notice should be taken regarding the level of noise from music etc. as under the Environmental Protection Act 1990 – Statutory Noise Nuisance.  
  • All rubbish should be taken away from the halls and can be placed either in the large bin in the carpark or taken away from the premises. 
  • Hirers are advised that fly tipping is illegal.  Any hirer found to have fly-tipped following an event at the Centre is responsible for any further action taken by the police or the local authority Enforcement Officers. 
  • Hirers are responsible for arranging their own insurance and safeguarding checks as necessary before booking.   
  • A cleaning/damage deposit of £50.00 will be required, payable at the time of booking by bank transfer, cash or cheque. The deposit is refundable upon return of the key and hall to the same standard as hired.  
  • If the key is lost or not returned, then the deposit will not be refunded. 
  • The full payment for the use of the hall is due and payable no later than 14 days prior to the event taking place.  
  • Please note the Centre does not hold an Alcohol Licence and therefore alcohol cannot be sold on the premises without an external party holding their own licence.  
  • The Drayton Centre does not hold any gambling licences.  In the event of holding a raffle or fundraising event, hirers must make their own arrangements if needed and provide any relevant documentation to the Centre Manager before the event. 
  • The car park is available for use by any Centre hirers and their attendees.  The Drayton Centre takes no responsibility any damage, accident or losses. 
  • A key must be collected from the office the week prior to the party. The office is open 9am until 1pm Monday – Friday.  

 

Applying to use the centre 

 

  1. Application for the use of the Centre shall be made to the Centre Manager or via the booking portal accessible on The Drayton Centre website. 
  1. Contact phone numbers must be shared with the Centre Manager for use in an emergency. 
  1. The Drayton Centre reserves the right to refuse any booking, to revise hire charges and to review the conditions of hire at any time. Advanced bookings for hire after 1st November each year may be charged at new rates as agreed by the trustees.  
  1. All arrangements for the use of the Centre’s facilities are subject to the Centre Manger reserving the right to terminate agreements when the premises are required e.g. for a special event or as a polling station or are rendered unfit for the intended use.   
  1. Two weeks’ notice should be given by Private Hirers for cancellation or termination of a booking or the deposit of £50.00 will be charged in full. 
  1. Regular User Groups must give 48 hours’ notice for cancellation of a session or they will be invoiced in full. 

 

Hours of opening 

 

Facilities at the Centre are normally available for use between the hours of 8.00am and 11.00pm Monday to Sunday and Christmas Eve and New Year’s Eve between 8.00 a.m. and 1.00 a.m.  

 

The hire of the premises does not entitle the hirer to use the premises at any other time than those shown on the booking confirmation. If hirers are found to have not left the premises in a timely manner, the deposit may be withheld and/or additional fees may be charged. 

 

In circumstances where the Centre Manager or Trustees need to be reached outside of office hours, the emergency number is: 07311 201 030.  

 

Regular office hours are 9am – 1pm Monday to Friday. 

 

Maximum capacity  

 

The building is licensed for a maximum capacity of 100 in the Augustus Hill (front) Hall, 60 in the David Higgs (rear) Hall and 30 in the Conference Room (these figures include helpers and performers). 

 

Safety Requirements 

 

All conditions should be adhered to by anyone attending the centre: 

 

  1. All electrical appliances used in the Centre should be safe and have the appropriate, valid Portable Appliance Test (P.A.T.) certificate. 
  1. Obstructions must not be placed in the gangways or exits, nor in front of the emergency exits, which must be immediately available for free public use. 
  1. All groups are expected to co-operate in the fire drills when arranged, in order to familiarise users with evacuation procedures. 
  1. Firefighting apparatus shall be kept in its proper place and only used for its intended purpose. 
  1. The fire brigade shall be called to any outbreak of fire, however slight and details of the occurrence shall be given to the Centre Manager.  
  1. The event organiser should familiarise yourself with the Fire Evacuation Procedure found on our website and the Fire Action Plans found in each room at the venue.  
  1. Performances involving danger to the public shall not be given. 
  1. Highly flammable substances shall not be brought into nor used in any part of the premises. No internal decorations of a combustible nature (e.g. polystyrene, cotton etc.) shall be undertaken or erected without the consent of the Centre Manager. 
  1. No Fats and Oils should be used in the kitchens.  
  1. No unauthorised heating or electrical appliances shall be used on the premises. 
  1. The first aid boxes shall be readily available to all users of the premises. The Centre Manager shall be informed of any accident or injury occurring on the premises. 
  1. It is incumbent on all users of the centre to report damage or breakages to the office, especially where this may be of a hazardous nature to other users. 
  1. The use of candles is prohibited. 
  1. If you are in need of disability assistance or arrangements, please contact the Centre Manager directly to discuss what assistance can be provided. 
  1. The use of smoke machines and foam machines are prohibited. 
  1. Smoking and vaping are strictly prohibited in the centre. Please use appropriate smoking area at front of building and dispose of smoking or vaping waste in appropriate disposal units.  
  1. Alcohol can be consumed on the premises by the party that supplied it but CANNOT be sold without a valid Alcohol Licence held by the lead member of the party.  
  1. On leaving the premises, any heating or air conditioning must be turned off, lights turned off, taps turned off and windows must be closed and doors locked. 
  1. We accept no responsibility or liability for any loss, damage or injury caused during your use of the Drayton Centre 

 

Teenage Parties 

   

We do not permit 18th birthday parties.  The person in charge of an activity shall not be under 18 years of age and shall be on the premises for the duration of the activity. They shall not be engaged in any duties, which prevent them from exercising general supervision. When the centre is used for the purpose of a teenage party, there shall be a ratio of one adult to every eight teenagers to supervise, none of whom shall be less than 18 years of age.
